How Show Register handles information for organizers, show teams, dealers, attendees, and other people who use the service.

Scope and roles

This Privacy Policy applies to the Show Register website, organizer workspace, public show pages, registration flows, and related services (collectively, the “Service”).

Organizations use Show Register to operate their own shows. Those organizations decide what information to collect from attendees, dealers, sponsors, volunteers, and other participants. Show Register processes that event information to provide the Service to the organization. A show organizer may also provide its own privacy notice, which will apply to its use of your information.

Information we collect

Depending on how you use the Service, we may collect:

  • Account information: name, email address, authentication details, organization, role, and account settings.
  • Show and participant information: show details, registrations, names, email addresses, organization names, dealer applications, table preferences, accessibility or electricity requests, participation history, check-in records, organizer notes, tasks, and communications.
  • Payment information: transaction amount, payment status, payment method, refunds, and identifiers from our payment provider. Card details are entered directly with Stripe and are not stored by Show Register.
  • Content and files: documents, contracts, permits, maps, images, notes, and other material an organizer chooses to upload.
  • Service information: basic device, browser, request, and security log information needed to operate, protect, and troubleshoot the Service.

How we use information

We use information to:

  • Provide, maintain, secure, and improve the Service.
  • Create accounts, process registrations, manage show operations, and preserve authorized show history.
  • Process subscriptions and show payments, issue refunds, and maintain transaction records.
  • Send confirmations, operational messages, and communications requested by show organizers.
  • Prevent abuse, investigate security issues, enforce our agreements, and comply with legal obligations.

Show Register does not sell personal information or use it for third-party targeted advertising.

How information is shared

Information may be shared with:

  • The organization running the show and its authorized team members.
  • Service providers that support hosting, authentication, data storage, email delivery, payment processing, and security. These currently include Supabase, Stripe, and SendGrid.
  • Authorities or other parties when reasonably necessary to comply with law, protect rights and safety, investigate abuse, or respond to valid legal process.
  • A successor organization as part of a merger, acquisition, financing, reorganization, or sale of all or part of the Service, subject to appropriate protections.

We do not authorize service providers to use personal information for their own advertising.

Retention and show history

Show Register is designed to preserve useful history between recurring shows. Event records, participation history, organizer notes, and related documents may therefore remain available while an organization maintains its account or has a legitimate operational or recordkeeping need.

We retain other information for as long as needed to provide the Service, meet contractual and legal obligations, resolve disputes, prevent fraud, and maintain security. Information may remain in backups for a limited period after deletion.

Security

We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. No online service can guarantee absolute security, and users are responsible for protecting their credentials and limiting account access to authorized people.

Your choices and rights

You may update certain account information through the Service. Depending on where you live, you may also have rights to request access, correction, deletion, restriction, portability, or an explanation of how your personal information is used.

If your information was collected for a particular show, contact that show’s organizer first because it controls the event record. Account owners may submit privacy requests using the contact for support@showregister.com. We may need to verify a request before acting on it, and some information may be retained where permitted or required by law.

You can control cookies through your browser. Disabling cookies needed for authentication or security may prevent parts of the Service from working.

Children

The Service is not directed to children under 13. Show organizers are responsible for obtaining any permission required before collecting information about minors. If you believe information about a child was submitted without appropriate authorization, contact the relevant show organizer or support@showregister.com.

Data locations

Show Register and its service providers may process information in the United States and other countries where they operate. Privacy protections may differ from those in your location.

Changes and contact

We may update this policy as the Service changes. The “Last updated” date will identify the current version. Material changes may also be communicated through the Service when appropriate.
